What you’ll do:
The Studio Coordinator plays a central role in ensuring the smooth, day-to-day running of our creative studio. This role supports the full team, including directors and account managers, while overseeing studio operations and office admin. You’ll need to be highly organised, people-focused, and confident juggling tasks ranging from financial admin to snacks and stationery. A love for spreadsheets and structure is a big plus!
Key responsibilities:
- Answer incoming calls and direct them professionally to the relevant team members
- Greet and screen incoming visitors
- Set up meeting rooms and ensure a welcoming studio environment
- Coordinate with account managers and directors to create cost estimates in Xero
- Send client estimates and invoices, including daily ad hoc invoicing
- Handle print and courier logistics where needed
- Manage domain and hosting purchases, monthly invoicing, and recurring billing setup
- Maintain a tidy, professional, and client-friendly office at all times
Who you are:
- Excellent telephone manner and interpersonal skills
- Strong working knowledge of Xero, Google Workspace (Gmail, Docs, Sheets), and general office tools
- Exceptional organizational skills and attention to detail
- Ability to multitask and switch between responsibilities quickly and calmly
- Reliable, proactive, and able to take initiative
- Previous experience in a creative studio or administrative environment is a strong advantage
